1. Agreed Price, Journey Details & Amendments

The Agreed Price constitutes the total price payable for the journey, as confirmed between the Operator and the Hirer at the time of booking. The agreed times, route, and other relevant details of the journey are set out in the Booking Confirmation.

Any requests to amend the times, route, or other journey details must be made in writing to the Operator no later than seven (7) days prior to the date of travel. Whilst the Operator will use reasonable endeavours to accommodate minor changes, all amendments remain strictly subject to availability and feasibility. The Hirer acknowledges that such changes may incur additional charges, which will be communicated before confirmation.

2. Hire Vehicle Supplied – Vehicle Availability & Substitution

The Operator will use all reasonable endeavours to provide the specific vehicle requested at the time of booking. The Hirer acknowledges and accepts that, in the unlikely event this is not possible, the Operator reserves the right to provide a substitute vehicle of a similar type and seating capacity. Whilst a preferred vehicle colour may be requested, no guarantee is made that such colour will be available.

The Operator further reserves the right, at its absolute discretion, to subcontract the booking to a third-party operator if the booked vehicle is unavailable due to mechanical issues, or unforeseen circumstances. In such cases, the Hirer agrees that the Operator shall not be liable for the standard, condition, or performance of the subcontractor’s vehicle or services. Any issues arising must be addressed directly with the subcontractor.

The Hirer expressly acknowledges and agrees that, in the event of any vehicle substitution or change, no refund or partial refund shall be due or payable under any circumstances.

3. Vehicle Hire Type – Hire Options, Vehicle Use & Personal Belongings

The Operator offers the following hire options:

Unless the Hirer has booked a continual hire agreement, the vehicle may be used by other customers before or after the Hirer’s journey. The vehicle interior will be cleaned and replenished between hires to maintain presentation standards.

Where a continual hire agreement has not been booked, the Hirer may not leave any personal belongings on board the vehicle between journeys. The Operator shall not be held responsible for any loss of, or damage to, items left in the vehicle at any time, whether with or without the driver’s knowledge.

4. Vehicle Hire Payment

All bookings must be secured by payment of a non-refundable deposit in advance. The balance payable shall be the amount outstanding after deduction of the deposit. Unless otherwise agreed in writing, the remainder balance is due no later than one (1) day prior to the booking date.

Outstanding payments are accepted only by cash or bank transfer.

Any exceptions to this policy will be expressly stated on the Booking Confirmation and will only apply where agreed with the Operator at the time of booking.

5. Additional Vehicle Hire Charges

a) Overtime
The hire agreement specifies pick-up and return times and/or duration of hire. Adherence to these times is essential to avoid disruption to subsequent bookings. Where these times are not adhered to, the Operator reserves the right to levy additional charges or cancel the booking.

Overtime will be charged per hour, or part thereof, as follows:

Payment of overtime charges must be settled before the end of the hire. Cheques, debit/credit cards, and foreign currency are not accepted on the day of hire. If payment cannot be made, the journey will terminate at the agreed drop-off time or be cancelled.

b) Damages
The Hirer is liable for any damage to, or soiling of, the vehicle or its equipment caused by the Hirer or their party. A minimum charge of £100 will apply, payable before the end of the hire. The Operator reserves the right to end the journey immediately in such cases.

If payment cannot be made on the day, the Hirer authorises the Operator to charge the debit/credit card used for the booking deposit. A 5% surcharge applies to credit card payments.

If the cost of repair exceeds £100, the minimum will be charged as above, with the balance invoiced.

6. Cancellation of Booking

All bookings are confirmed by a non-refundable deposit. In the event of cancellation, the deposit will not be refunded.

The Operator reserves the right to retain payment details until the booking is completed and may charge the full balance if a confirmed booking is cancelled:

7. Airport Pickups

Full flight details must be provided to ensure punctual service. Whilst the Operator makes reasonable attempts to monitor flight times, reliable information is only available shortly before arrival.

If a flight is delayed, the Hirer must contact the Operator as soon as possible. The Operator will endeavour to accommodate delays but cannot be held liable if circumstances prevent adjustment. Additional charges may apply for rescheduled collections.

Due to airport security restrictions, a full “meet and greet” service may not be possible. Pick-up arrangements should be confirmed directly with the Operator once the Hirer reaches the Customs Hall.

8. Lost Property

The Operator cannot accept responsibility for any loss of property left in the vehicle at any time or under any circumstances.

9. Vehicle Breakdown

All vehicles are maintained to a high standard. In the unlikely event of a breakdown or the vehicle being rendered unserviceable, the Operator will use best endeavours to provide a replacement as soon as possible. However, the Operator shall not be liable for any consequential loss arising from breakdown or unavailability.

10. Termination of Hire

The Operator reserves the right to terminate the hire immediately if the Hirer or their party are drunk, using illegal substances, unruly, pose a danger to the driver, or cause damage to the vehicle.

11. Vehicle Damage

The Hirer is responsible for the full cost of rectifying any damage to the vehicle caused by them or their party.

12. Grace Period

The Operator aims to arrive at pick-up points in advance of the scheduled time. However, in circumstances beyond our control (e.g., traffic congestion, severe weather), late arrival of up to 60 minutes shall be deemed within the terms of the agreement.

Where reasonably practical, the Operator will adjust the booking to compensate for lost time (e.g., by extending the hire period).

13. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales. The Hirer agrees that any disputes arising under these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
